Privacy Policy

This policy explains how BETSOL Inc. (“BETSOL”, “we”, “us”) collects, uses, and protects personal information when you use Swiftcode, our AI-powered interview assessment platform. BETSOL is the data controller for personal information processed through this platform.

1. Information We Collect

We collect the following categories of personal information:

  • Identity and contact data: your name and email address, obtained when you sign in via Google OAuth or email one-time passcode.
  • Assessment responses: your answers to multiple-choice questions, time spent on each question, and your final score.
  • Proctoring data: webcam snapshots and desktop screenshots captured at scheduled intervals during your assessment session, together with browser integrity events (tab switches, fullscreen exits, copy/paste actions). You are informed of proctoring before your session begins and must acknowledge it to proceed.
  • Biometric data: webcam snapshots are stored as images for human review by the hiring panel. We do not apply facial-recognition, face-geometry, or other biometric-identification technology to these images, and we do not use them to identify you biometrically.
  • Technical data: IP address, browser type and version, operating system, and session metadata collected automatically when you use the platform.

2. How We Use Your Information

We process your personal information for the following purposes:

  • Delivering the assessment: authenticating your identity, serving questions, saving your answers, and calculating your score. Lawful basis: performance of a contract (the invitation to take the assessment).
  • Proctoring and integrity: detecting and recording behaviours that may indicate assessment irregularities, and making those records available to the hiring panel. Lawful basis: legitimate interests of BETSOL and the hiring organisation in fair, reliable assessments; candidates are informed before the session begins.
  • AI question generation: the job description for the role is processed by Azure OpenAI to generate relevant assessment questions. No personal data is used to train the underlying AI model.
  • Communications: sending you your invitation, reminders, and results by email. Lawful basis: legitimate interests.
  • Platform security and improvement: monitoring for abuse, diagnosing technical issues, and improving platform reliability. Lawful basis: legitimate interests.

3. Proctoring Disclosure

Swiftcode is a proctored platform. During an active assessment session, the platform may capture:

  • Periodic webcam snapshots (if webcam proctoring is enabled for your assessment)
  • Periodic desktop screenshots (if desktop proctoring is enabled for your assessment)
  • Browser events such as tab switches, fullscreen exits, and use of copy/paste

The hiring panel that invited you can review proctoring data as part of evaluating your assessment. Proctoring settings vary per assessment; the pre-assessment checklist screen shows exactly which proctoring features are active before you start.

You may withdraw from the assessment at any time before submitting. If you do not consent to proctoring, do not proceed past the pre-assessment checklist.

4. Who We Share Your Information With

  • Hiring panel members: BETSOL employees or authorised company representatives who invited you to the assessment. They can access your score, answers, and proctoring data.
  • Microsoft Azure: our cloud infrastructure provider. Your data is stored in Azure data centres (primarily in the region selected by BETSOL). Azure processes data as a data processor under a Data Processing Agreement.
  • Azure OpenAI: used to generate and refine assessment questions from job descriptions. Microsoft does not use your data to train foundation models.

We do not sell, rent, or trade your personal information to third parties.

5. Data Retention

We retain candidate personal data, including assessment responses, proctoring snapshots, and associated events, for one (1) year from the date your assessment is completed or expires, whichever is earlier. After this period, your data is permanently deleted from our systems.

You may request earlier deletion by contacting us at [email protected], subject to any legal obligation we have to retain records.

6. Your Rights

Depending on the laws that apply to you, you may have the following rights:

  • Access: request a copy of the personal data we hold about you.
  • Rectification: ask us to correct inaccurate data.
  • Erasure: ask us to delete your data where there is no overriding lawful basis for continued processing.
  • Restriction: ask us to restrict processing of your data in certain circumstances.
  • Portability: receive your data in a structured, machine-readable format.
  • Objection: object to processing based on legitimate interests.
  • Withdraw consent: where processing is based on consent, withdraw it at any time without affecting prior processing.

7. California Privacy Rights (CCPA/CPRA)

If you are a California resident, you have the right to know what categories of personal information we have collected about you, request deletion of your personal information, and request correction of inaccurate personal information. We do not sell or share personal information for cross-context behavioural advertising, so there is no opt-out required for that activity.

8. Cookies and Similar Technologies

Swiftcode uses strictly necessary cookies to keep you signed in and to maintain your assessment session. We do not use third-party advertising or tracking cookies. You can control cookies through your browser settings, though disabling necessary cookies will prevent you from signing in or completing an assessment.

9. Grievance Officer

If you have a complaint about how your personal information has been handled, you can contact our Grievance Officer at [email protected]. We will acknowledge your complaint and aim to resolve it within 30 days.

10. International Data Transfers

BETSOL is headquartered in the United States. Your personal data may be transferred to and processed in the US or other countries outside your country of residence. Where required by law, we use appropriate safeguards for international transfers.

11. Security

We implement technical and organisational measures appropriate to the risk, including encryption in transit (TLS), access controls limiting data to authorised personnel, and infrastructure hosted on Microsoft Azure with enterprise-grade security controls. No system is completely secure; if you believe your data has been compromised, contact us immediately at [email protected].

12. Children

Swiftcode is intended for professional use by adults participating in employment assessments. We do not knowingly collect personal information from individuals under the age of 18. If you believe a minor has submitted data to us, contact us so we can delete it.

13. Changes to This Policy

We may update this policy periodically. When we make material changes, we will update the effective date at the top of this page and, where appropriate, notify you by email. Continued use of Swiftcode after changes take effect constitutes acceptance of the updated policy.
